Invoices, receipts and online payments

Which actions produce an invoice or a receipt, how to issue one by hand, how to print it with your own design, and how to read online payments.

The panel keeps two kinds of paper: documents for subscribers, and documents between you and your resellers. Online payments sit next to both.

Subscriber invoices

Activations, renewals, subscriber deposits and withdrawals, and add-on purchases all have a Generate invoice checkbox. It is off by default; tick it when the subscriber wants a document.

  • An activation invoice is marked paid only if money collected was ticked.
  • Deposit, withdrawal and add-on invoices are always marked paid, because the money already moved.
  • A repeated or retried action never issues a second invoice.

To write an invoice by hand, use Issue Invoice. Every subscriber invoice is listed under Subscriber invoices.

Reseller documents

Money between you and your resellers is documented by default: a deposit (or a debt payment) issues a manager receipt, a withdrawal issues a manager invoice. The deposit and withdraw dialogs have an issue-document checkbox that is ticked by default; untick it only when you do not want the document. Find them under Manager receipts and Manager invoices.

Printing with your own design

Click an invoice to see it as it will print, then download it as a PDF. To use your own layout, create an invoice design in Designer → Print designs and pick it in the invoice preview. The preview and the PDF come from the same drawing, so what you see is what prints.

Online payments

Online payments lists every payment started through a payment gateway, with its state.

  • Pending means the subscriber started paying. Nothing is credited yet.
  • Succeeded means the gateway confirmed it. The credit is applied exactly once, whether the confirmation arrived by the gateway's own notice or by the panel checking the gateway itself.
  • Failed, cancelled or expired means no money was taken.

Setting a gateway up is covered in Connecting a payment gateway.

If it did not work

  • No invoice after an activation. Generate invoice was not ticked. Issue one by hand.
  • A payment stays pending. Confirmation can take a few minutes. Do not credit the subscriber by hand while it is pending, or they will be credited twice when it succeeds.
  • The subscriber paid but the panel says failed. Check the gateway's own merchant dashboard with the reference shown in the payment row before doing anything.
